Terms & Conditions — Guide the Himalayas.

These Terms & Conditions apply to all trekking, tour, and adventure programs organized by Guide the Himalayas, a registered trekking and tour company based in Kathmandu, Nepal. By confirming a booking with us, you agree to the policies outlined below.


Booking & Payment Policy

  • A 20% non-refundable deposit of the total trip cost is required to confirm your booking.

  • The remaining balance must be paid upon arrival in Kathmandu, before the trek or tour begins.

  • For trips to Tibet, Bhutan, or India, full payment may be required in advance due to permit and reservation requirements.

  • Payments can be made via bank transfer, credit card, or cash. Any applicable service or bank charges are the responsibility of the client.


Cancellation & Refund Policy

  • All cancellations must be submitted in writing via email.

  • Refunds are based on the date we receive the cancellation notice:

    • More than 30 days before departure: 50% refund (deposit excluded)

    • 15–30 days before departure: 25% refund

    • Less than 15 days before departure: no refund

  • No refund will be provided if a client leaves the trip early, whether voluntarily or due to personal reasons.

  • Domestic and international flight tickets are non-refundable and non-transferable.


Changes to Itinerary

  • Itineraries may be adjusted due to weather conditions, flight delays, natural disasters, political situations, or client health issues.

  • In such cases, we will offer the best possible alternatives to continue the trip smoothly.

  • Guide the Himalayas is not responsible for additional costs arising from unavoidable changes beyond our control.


Travel & Medical Insurance

  • Comprehensive travel and medical insurance is mandatory for all clients.

  • Insurance must include coverage for:

    • Medical treatment and personal accidents

    • Emergency helicopter evacuation (especially for high-altitude treks or climbs)

    • Trip cancellation or interruption

    • Loss or theft of baggage

  • Insurance must be arranged before arriving in Nepal.


Responsibility & Liability

  • Guide the Himalayas acts as a service provider and is not liable for events beyond our control, including natural disasters, flight cancellations, road blockages, or political unrest.

  • Clients must follow all instructions given by guides and trip leaders for safety reasons.

  • We are not responsible for loss, injury, illness, or damage to personal belongings during the trip.


Environmental & Cultural Responsibility

  • We promote ethical and sustainable tourism and follow Leave No Trace principles.

  • Clients are expected to respect local cultures, traditions, and religious practices.

  • Responsible behavior regarding waste disposal, wildlife protection, and cultural sensitivity is required throughout the journey.


Trekking Regulations in Nepal

  • Licensed Guides: All foreign trekkers must be accompanied by a government-licensed guide.

  • TIMS Card: Required for most trekking regions and arranged through our company.

  • Restricted Area Permits: Necessary for certain regions and issued only through authorized agencies.

  • National Park / Conservation Area Permits: Entry fees generally range from USD 20–30 and are arranged before the trek.

  • Local Municipality Fees: Some regions may charge additional local entry fees.

  • All trekkers must carry valid permits and comply with local regulations.


Mountaineering & Peak Climbing Policies

  • Climbers must obtain official climbing permits through an authorized company.

  • Expeditions must include a licensed climbing guide (Sirdar) and liaison officer where required.

  • Clients must have suitable experience and insurance covering high-altitude rescue.

  • We reserve the right to refuse participation to anyone deemed medically or physically unfit for the activity.


Privacy & Personal Data

  • We respect your privacy. Personal information is used only for permits, trip arrangements, and emergency purposes.

  • Data will not be shared with third parties unless required by law or government authorities.
